Scheduling (Phases 2 & 3)
In Phases 2 and 3, students can customize their clinical schedules by choosing order of required clerkships and adding two-week selectives, four-week electives, away rotations, Global Health rotations and research blocks.
Schedules are managed through the OASIS online scheduling system.
Add/Drop Deadline: Three weeks before the start of a rotation.
- Students can add and drop certain courses throughout the year. For courses that are full or have special permissions, students may join waitlists administered by the R&R team. Questions? Email fsm_records@northwestern.edu.
Schedule Planning Timeline
- Rising M3 Students
Phase 2 scheduling starts in January of the M2 year with an overview from the AWOME deans and the R&R team covering the timeline, process and policies. - Rising M4 Students
Phase 3 scheduling begins in December of the M3 year with an overview from the AWOME deans and the R&R team covering the timeline, process, policies, away rotations and the Visiting Student Learning Opportunities system (VSLO).
Away Rotations
Visit the Visiting Student Learning Opportunities (VSLO) site to learn about the VSLO system and applying to Away Rotations.
Research Credit (Phases 2 & 3)
Students may earn elective credit for Area of Scholarly Concentration (AOSC)-related research and non-AOSC research.
To schedule a research elective, submit the Research Elective Request Form and attest to reviewing it with your research mentor. Each non-contiguous research block requires a separate form. All requests must be approved by the mentor and submitted to AWOME for approval before scheduling.
Submit the form at least two weeks before starting the research block. Credit cannot be granted retroactively. Once approved, the R&R team will add the elective to your schedule in OASIS and send an email confirmation.
NOTE:
- A maximum of 12 weeks of research credit counts toward graduation. (Please see the Feinberg Graduation Requirements policy for additional information.) Additional research time is allowed but won't count toward the credit cap.
- Students may schedule up to two non-contiguous two-week blocks (max four weeks total). All other research must be in blocks of four weeks or more.
- The process for requesting credit for a research year (independent study) is the same, with added steps for extended time away from the MD curriculum. Students will receive four weeks of elective credit for a research year.
FERPA/Viewing Records
Learn our policy concerning student rights of access to personal educational records in compliance with the Family Educational Rights and Privacy Act (FERPA).
Transcripts
Current MD students can request unofficial transcripts by contacting fsm_records@northwestern.edu. Official transcripts can be ordered via CAESAR and are processed within three business days free of charge.

Diplomas
PDF copies of diplomas are available immediately following graduation. Please email fsm_records@northwestern.edu to make this request free of charge.

Letters of Good Standing/Proof of Enrollment
Medical students who need letters of good standing or proof of enrollment may send an email request to fsm_records@northwestern.edu. Please include any pertinent details to be included in the letter and where it should be sent upon completion.
Jury Duty Exemption
If jury duty conflicts with coursework or clinical activities, students may request a deferment. Most jurisdictions allow deferment of jury duty until an education conflict no longer exists.
For Cook County, IL summonses, send the summons and a valid copy of your NU WildCard to the Jury Administration Office as proof of enrollment.
For other jurisdictions, follow the state's deferment instructions. If a deferment letter is required, email fsm_records@northwestern.edu with a picture of the summons. The R&R team will write a letter requesting deferment if the jury duty conflicts with scheduled medical school requirements.
Non-Joint Degree Dual Registration
Enrolled Feinberg students may take one class per quarter at any Northwestern school at no cost, with approval from AWOME deans and the course instructor.
Students will be fully enrolled in these courses (not auditing) and will receive a final grade. However, grades from non-MD classes will not appear on Feinberg transcripts and cannot count toward future additional degrees. This option is intended only for the edification of our MD students.
Kellogg (MBA) Course
The Kellogg School of Management offers a limited number of courses each quarter to non-MBA students. Course availability is posted on this page a few weeks before each quarter.
To request enrollment in a Kellogg course:
- Email the Feinberg Registrar, noting the course details (course name, number, meeting days/times and modality).
- Secure permission before applying to register.
Non-Kellogg Courses
Students may browse courses in CAESAR or specific school catalogs to identify classes of interest.
Note: We recommend choosing courses held in the evenings, weekends, or asynchronously to avoid conflicts with MD responsibilities.
To request a course:
- Email the Feinberg Registrar, noting the course details (course name, number, meeting days/times and modality).
- After approval by the AWOME deans, contact the course instructor for a permission number.
- Send the permission number to the Feinberg Registrar, who will complete your registration.
USMLE Certification of Identity Form (CIF)
Starting in 2025, the USMLE Certification of Identity Form (CIF) will no longer be required for students registering for Step 1. Please follow the registration instructions provided by NBME/USMLE.
The registrar is required to verify enrollment for students regularly.

Affiliation Agreements
Feinberg requires an executed affiliation agreement with host institutions before students rotate. This policy ensures legal safeguards to protect students while they are completing away rotations. Currently, we have agreements with most accredited schools. We strongly suggest students consider institutions on this list.
For schools not on the list, please email us at fsm_records@northwestern.edu. Our office can provide students with the status of pending agreements we're pursuing with additional institutions.
NOTE: If an agreement is not established with a host institution at least four weeks before the start date, our students will not be able to rotate at that institution. If that occurs, students will be notified by email.
Visiting Student Learning Opportunities (VSLO) System
Many LCME schools use the AAMC’s Visiting Student Learning Opportunities (VSLO) system to manage away elective applications and decisions. The R&R team gives students access to VSLO in their Phase 2 year.
VSLO allows students to:
- Browse away elective opportunities.
- Determine when applications are accepted at various schools.
- Identify what components are needed to accompany an application.
Supplemental Documents
Away elective programs may require several documents or verifications to accompany a student’s application. Some of the most common requests are:
- Medical Records/Completion of the AAMC Universal Immunization Form
Please work with Student Health Services or a primary care physician to complete this form. - Medical School Transcript
If applying to rotations in VSLO, we will upload the student’s transcript only after they have submitted an application. Students do not need to notify our office, as VSLO will prompt us to do so. - Letter of Good Standing
If required, we are typically asked to upload a Letter of Good Standing after the student applies. If listed as a student requirement, please reach out to fsm_records@northwestern.edu. - Malpractice Coverage Verification
We are usually asked to upload or verify this after the student applies. If listed as a student requirement, please reach out to fsm_records@northwestern.edu.- NOTE: Some institutions require a Certificate of Insurance, which is ordered from the Office of Risk Management by the registrar’s office and takes approximately a week to process. Please reach out to rsm_records@northwestern.edu in this case.
- Criminal Background Check (CBC)
A background check was completed when each student received an acceptance to medical school. If a more recent background check is required, it is the student’s responsibility to have this performed. AAMC provides recommendations.. - Drug Testing

Post-Acceptance Away Application and Receiving Elective Credit
Away rotations may be applied towards the graduation requirement of 20 weeks of elective credits (see our graduation requirements), but only if the proper steps are taken:
- Complete the Away Elective Application Form and submit it to our office at least four weeks before the start date.
- Once approved, the elective will be added to the student’s schedule in OASIS, and the enrollment process will be complete.
This registration process needs to be completed before the start of an away rotation for two reasons:
- The student will only be covered under the University’s malpractice insurance if enrolled in the elective before the start date.
- The student will only receive elective credit to apply towards graduation requirements if registered before the start date.
After the elective, the away institution’s visiting student coordinator or elective director must submit the FSM Elective Clinical Performance Assessment Form to fsm_records@northwestern.edu within six weeks of the end date.
However, some institutions only utilize their assessment forms. In this case, we accept the host institution’s form provided the final grade and narrative comments are listed. If you experience difficulty with his process, our office will reach out to the institution on your behalf.
We provide the following services for alumni of the Feinberg MD program. Per FERPA, all requests must include a signed release of information.
MD Education Verifications
Please send verification requests to fsm_records@northwestern.edu with a signed release of information and any other pertinent details. While email is preferred, you can also fax us at 312-503-0715.
MD Transcripts
Pre-2000 Graduates
If you graduated before 2000, we must first create an account for you within Parchment, Northwestern’s transcript vendor.
To initiate this process, please submit the MD Transcript Account Creation form. We will then create the account and confirm via email once it is complete. Then, you can order the transcript through Parchment.
Post-2000 Graduates
If you graduated in 2000 or later, order transcripts directly via Parchment.
There are two options in Parchment for alumni requesting their medical school transcripts.
- If a transcript is needed for a residency or fellowship, please choose “Official Transcript – MD Current Student Resident Fellow.” There is no charge for these requests.
- If a transcript is needed after completing residency and/or fellowship, please choose “Official Transcript – Physician.” The cost is $25, and transcripts are processed within three business days.
Note: There may be more options if alumni have received multiple degrees from Northwestern.
MD Diplomas
Alumni can request an official replacement diploma in Parchment. For pricing and more information, visit the Office of the Registrar site.
Alumni can request a PDF copy of their medical school diploma by emailing fsm_records@northwestern.edu at no cost. This office only has electronic copies starting with the Class of 1988.
For alumni who graduated before 1988, an official replacement diploma can be requested from Parchment (for a charge), or this office can provide an official letter from the registrar explaining these circumstances.
Notarization/Apostille
Alumni can request notarization or get an apostille for official transcripts or diplomas.
- Notarization confirms the authenticity of the document and signatures.
- An apostille is for use in foreign countries. Learn more on the Illinois Secretary of State website.
Apostille Support
As a courtesy, we can notarize and forward your transcript to the State. To do this, you must:
- Order a paper transcript.
- Mail the following to the R&R office:
- Apostille Application form (from the Secretary of State site)
- $2 per transcript, check payable to IL Secretary of State
- A prepaid, addressed return envelope.
Medical Student Performance Evaluation (MSPE)
Alumni cannot possess their Medical Student Performance Evaluation (MSPE; also referred to as a Dean’s Letter) after graduating. If a copy is needed, please send the relevant contact information to fsm_records@northwestern.edu, and it will be sent directly.
Fellowship Applications (MIDUS/ERAS)
We can provide Medical Student Performance Evaluations (MSPEs) and Transcripts for Electronic Residency Application Service (ERAS) applications via the AAMC’s Medical Institution Document Upload Service (MIDUS).

Notary Service
