Registration & Records

The Office of Registration and Student Records provides students and alums with a variety of registrar related services and resources such as inquiries regarding course and clerkship registration and changes, official rosters, grade reporting, degree credit, enrollment certification, postponement of jury duty, school portion of extramural applications and any accompanying letters and documentation.

Colleagues in the office of registration and student records are readily available to assist Monday through Friday. We look forward to providing you with efficient service.

 Academic Records

The Office of Registration and Records offers services for our current students and alums for Medical School Transcripts, Dean's Letter (MSPE), Copy of MD Diploma, Medical Education and Verifications and more. Find out more on the Academic Records page.

 FERPA

Learn about the institution's policy concerning student rights of access to personal educational record in compliance with the Family Educational Rights and Privacy Act (FERPA).

 Letter of Good Standing/Proof of Enrollment

Medical students who need letters of good standing or proof of enrollment, may send an email request with the specifics to FSM_Records@northwestern.edu. In the email, please include the purpose of the letter, the person or organization the letter should be addressed to, the pertinent details to be included in the letter, and the method of delivery (USPS, email third party, sent to the student). If sent to a third party, please include mailer or email address.

 Jury Duty

If a medical student is summoned to jury duty and it conflicts with coursework or clerkship activities, the student may request a deferment. Most jurisdictions will summon the student the next year. The student may continue to defer jury duty until such time an education conflict no longer exists.

If the summons is served by the Cook County Jury Administration (of Illinois), they will accept a valid copy of the student’s WildCard as proof of enrollment. Students should mail the summons along with a copy of their Wildcard directly to the Jury Administration for consideration.

Students who are summoned to jury duty by their home jurisdiction should follow the instructions to request a deferment from that jurisdiction. If a letter of enrollment is required, please send an email to our office including a copy of the jury summons as an attachment to FSM_Records@northwestern.edu. We will write a letter explaining the conflict and request a deferment on your behalf. Please note we can only write a deferment letter if a conflict appears with a student’s scheduled medical school requirements.

 USMLE Exam Registration

Students should complete their portion of the USMLE form. Write full name on the back of a 2” x 2” passport size picture and tape to the form. Bring the form to the Registration and Records Office (located in AWOME). Unless otherwise specified, the form will be completed and mailed directly to the USMLE within three business days of receipt. Within 7-10 busy days the student will be notified directly by the USMLE that an exam date can be set.
