Email Signatures

To properly format your email signature and include a logo, follow the steps below.

Instructions for Outlook 2010/2013 (Windows)

  1. Open a new message. Select the “Message” tab in the “Include” group. Click “Signature” and then click “Signatures...”
  2. Select “E-mail Signature” tab. Click the “New” button and type in your name for signature. Click “OK.”
  3. There are two signatures to choose from. Highlight and select the entire signature below and ensure that the logo art is also copied. Copy the entire signature by right-clicking on selection and choosing “Copy” from the drop-down menu.

  4. Paste the signature in the “Edit signature” section by right-clicking in the box and choosing the Keep Source Formatting icon from the “Paste Options” drop-down menu.
  5. Highlight all text and ensure that “Calibri” is the font and that the text size is 11pt. (All text should be “Calibri Regular” except “Name,” which should be “Calibri Bold”). Do not change the text color.P
  6. Personalize your email signature.
    • All words should be spelled out (i.e. North, Suite, Department, Illinois, Street, Court, Avenue, Road, Boulevard).
    • Please note that cell phone, pager and fax numbers are optional. If you do not use these numbers, please delete them from your signature. Do not add “www” to website URL address.
  7. Go to “Choose default signature” section in the top-right corner of the “Signatures and Stationery” box. Select the signature you just created for new messages and for replies/forwards, if you choose. Click "OK."

Instructions for Outlook 2011/2016 (Mac)

  1. Under Outlook (in the menu bar at the top of the screen), choose "Preferences..." and then select "Signatures."
  2. In the "Signatures" window, click the plus sign under "Signature name." Double-click the new Untitled signature you created and rename it.
  3. There are two signatures to choose from. Highlight and select the entire signature below and ensure that the logo art is also copied. Copy the entire signature by right-clicking on the selection and choosing “Copy” from the drop-down menu or pressing Command-C.

  5. Personalize your email signature.

  6. Under "Choose default signature," select your Northwestern account and then choose the signature you just created for new messages and for replies/forwards, if you choose. You can then close the "Signatures" window.

Instructions for Apple Mail

  1. Under Mail (in the menu bar at the top of the screen), choose "Preferences..." and then select your Northwestern account.
  2. Click the plus sign, then highlight the new signature name and rename it.
  3. There are two signatures to choose from. Highlight and select the entire signature below and ensure that the logo art is also copied. Copy the entire signature by right-clicking on the selection and choosing “Copy” from the drop-down menu or pressing Command-C.
